    The XXX is seeking a well organized and customer service focused individual to join their busy team. Your focus will be to reflect a positive and professional corporate image and provide prompt clerical support to the Administrative and Trading staff in a friendly and efficient manner.

    Your responsibilities will include (but are not limited to):
    • Ensuring the main switchboard is operated in an efficient, courteous and friendly manner;
    • Attending to all office filing on a regular and routine basis;
    • Collecting, sorting, recording and sending mail in a timely and effective manner;
    • Providing support for all staff through typing, and preparation of correspondence;
    • Arranging travel bookings, meeting venues and catering as required;

    To be successful you’ll need:
    • Well developed interpersonal and communication skills;
    • To be computer literate (MS Office suite);
    • To have a high level of clerical ability;
    • To be well organised and have the ability to work under pressure;
    • To be an effective team player with a positive attitude;
    • The ability to learn quickly and to accept new challenges.

    Job Profile

    Primary Focus
    • To reflect a positive and professional corporate image to those phoning and visiting XXX office through the main switchboard or entering the office.
    • To provide prompt clerical support to the Administrative and Trading staff of the XXX office in a friendly and efficient manner.

    Expected Outcomes

    Customers

    • Ensure the main switchboard in XXX office is operated in an efficient, courteous and friendly manner.
    • Responsible for telephone messages being passed onto the relevant people in a timely and accurate manner.
    • Ensure all incoming calls are screened and announced for all XXX office staff and directed to the relevant staff.
    • Responsible for collecting, sorting, recording and sending mail in a timely and effective manner.
    • Responsible for ensuring all office filing is attended on a regular and routine basis for both the general office and Trading division, or as requested.
    • Effective and efficient maintenance of all filing systems within the XXX office.
    • Provide support for all staff through typing, and preparation of correspondence. Eg contracts etc
    • Upon arrival ensure appropriate recipients of incoming couriered goods or visitors are notified and ensure that they are collected or distributed in a timely manner.
    • Responsible for contacting transport / courier companies, in a timely manner, to arrange for outgoing goods to be couriered appropriately.
    • As directed, arrange travel, accommodation, meeting venues or conference bookings.
    • Responsible for arranging all catering for lunches/dinners held at or by the XXX office.
    • Follow-up on the production of goods that are ordered on occasion.
    • Provide any other administrative support to XXX office staff and Administration Manager in particular as required.

    Safety

    • Compliance with the XXX Environmental Policy and any local Environmental Management Plans;
    • Manage OHS in accordance with the responsibilities defined in the XXX Occupational Health and Safety policy.

    Person Profile

    Technical Competencies (Necessary technical attributes required to complete the job.)

    • Computer Literate – Competent in a range of applications including:
    o Microsoft Word - to an intermediate level
    o Microsoft Excel - to a basic level
    o Ability to use email
    o Ability to navigate and to down load from the internet
    • Problem solving –The application of analytical and conceptual thinking skills to define and work through problems in order to find practical solutions.
    • Verbal communication – Will express themselves in a clear and an appropriate manner when interacting with others.
    • Written communication – Will clearly communicate ideas in writing by adopting a suitable language, tone and format to suit recipients.

    Qualification (Education, Certificates, Licences, Experience)

    • Demonstrated ability to operate a SIEMENS OPTIPOINT switchboard.
    • Experience with filing systems.
